The security deposit is the magical money set aside to cover your rear should something go wrong. You decide how much this refundable deposit should be and collect that amount before allowing anyone to rent your RV.
The security deposit is intended to cover any ancillary charges such as mileage overages, generator overages, cleaning fees, interior damage etc. If the security deposit doesn’t cover the ancillary charges or damages, Outdoorsy can assist in bringing these to resolution.
If you don’t already have a number in mind, we recommend charging somewhere between $500 and $1500 for the deposit. A higher deposit offers more protection, but be cautious about driving customers away. Consider the value of your vehicle: If you have a Class A luxury RV, you may want to charge a higher deposit than if you have a pop-up trailer.
Tip: The data shows that renters prefer listings with security deposits between $500 and $1,000 over listings with higher-valued security deposits.
How does the security deposit work?
If your RV is returned and you need to dip into some or all of the deposit, be sure to claim that money within 7 days. You can manage this from your dashboard by selecting the reservation details and clicking “Collect Fees”.
If you don’t do anything, the deposit money gets automatically returned to your renter seven days after the return of the rental.
All claims against the security deposit are subject to a 2.95% processing fee. See below for additional information on managing the security deposit.
What does the security deposit cover?
The security deposit covers any damage caused by the renter or renter’s party which is not covered by the Outdoorsy insurance program.
This includes but is not limited to:
<ul>
<li style="font-weight: 400;">Cleaning or penalty fees as stated by the owner prior to rental (ie. dump fee, re-fueling costs or excessive cleaning time/cost)</li>
<li style="font-weight: 400;">Interior damage, such as broken cabinets or interior scratches</li>
<li style="font-weight: 400;">Awning damage if awning use was not authorized by the owner in the rental contract.</li>
<li style="font-weight: 400;">Damage due to illegal activities of any kind</li>
<li style="font-weight: 400;">Missing items that were provided at the beginning of the rental</li>
<li style="font-weight: 400;">Towing and repairs, during the rental that are not covered by insurance or roadside assistance</li>
<li style="font-weight: 400;">Excessive miles/kilometers over the agreed-upon quantity included in the rental</li>
<li style="font-weight: 400;">Excessive generator hours over the agreed-upon hourly usage</li>
</ul>
How do I manage the security deposit?
Above all, it’s important to be communicative and transparent with your renter so they know exactly what’s happening with their deposit. Here are your options:
<ol>
<li style="font-weight: 400;">Hold the entire security deposit —  This gives you time to estimate the charges needed upon return.</li>
<li style="font-weight: 400;">Claim the entire security deposit — If charges exceed the security deposit amount, be sure to select this option. This will withhold the entire amount from the renter.</li>
<li style="font-weight: 400;">The security deposit will auto-release if no claim is filed after 7 days. No action is needed by owner.</li>
<li style="font-weight: 400;">If a claim is indicated within the 2-day time frame, the security deposit will be retained for 30 days instead of 7 days.</li>

All claims to a security deposit by the owner are subject to a 2.95% payment processing fee.

What if I need to charge more than the security deposit covers?
This is one for the Outdoorsy support team. You’ll need documentation of all the additional charges, including the <a href="https://www.outdoorsy.com/help/rv-return-form-with-downloadable-pdf" target="_blank" rel="noopener noreferrer">signed RV Return Form</a>. Go to your Outdoorsy dashboard and select “Manage Security Deposit” on the specific booking to claim the full security deposit. Then reach out to Outdoorsy support via phone, chat, or email and let them know that you have additional charges that are over the security deposit.
Once they’ve determined the validity of the charges, they’ll charge the renter and the payment will post to your account.
How does the security deposit apply to the deductible?
We know that the difference between the security deposit and deductible can be confusing, and we are here to help. In the event of a covered damage claim, once all applicable fees are assessed, any remaining funds will be collected by Outdoorsy. The remainder will be applied toward the deductible based on the <a href="https://www.outdoorsy.com/help/outdoorsys-protection-packages" target="_blank" rel="noopener noreferrer">Protection Package</a> the renter selected at the time of booking.
For example: If a booking carries a $500 security deposit and there is a $100 cleaning fee and a $150 mileage overage, $250 will be paid to the owner, and the remaining $250 will be collected by Outdoorsy. If the deductible for this booking was $1,500, this leaves a remaining balance of $1,250 (owed by the renter).   
Please note: If the security deposit is released for any reason prior to the claim concluding, the renter will be responsible for the full deductible amount. The release of a security deposit does not represent the conclusion of an insurance claim investigation, and any ancillary charges or deductible charges may still be pursued.

What if I need to charge more for overages beyond the amount of the security deposit?

The road is a wonderful place to be, but every once in a while there are bumps along the way. As hard as we fight against this, there’s always that small chance that a renter might cause damage to your RV. If this happens to you, our dedicated claims team will be here to help you get the damage covered and your RV back on the road in a flash.

What happens after I file a claim?
Our claims process will generally unfold in the following way:

<li>Gathering Information — Our claims team will ask for any other pertinent information to move forward with your claim. This includes a statement from your renter, any other evidence that is required, and proof of ownership (e.g., registration, title). 
</li>
<li>The Estimate — While our claims team is gathering information, our appraisal team at RVBetter will do the heavy lifting for you. They’ll contact you within 24 hours of filing your claim to get photos of your rig, including the damage, and usually complete the estimate within 3-4 hours of getting these pictures. We’ll be in touch once we complete step 3. 
</li>
<li>Confirming Coverage — We’re almost there! Your adjuster will review the statements, documents, photos, estimate, and all other necessary information to confirm it’s a covered loss. You can find the policy language here.  
</li>
<li>Payment — Hate waiting for a check? We make claim settlements a breeze with direct deposits. We’ll notify you via email once your payment is ready. Simply follow the instructions to enter your bank information, and it’ll arrive within 24-48 hours.  
</li>
<li>Closing the Loop — Once you have payment in hand, we’ll charge the renter their deductible and handle any other outstanding issues that might be present (e.g., if a third party is involved). Feel free to take your estimate and payment to any shop of choice to get the repairs started.  
</li>
<li>Post Claim Follow Up — If your repair shop requests <a href="https://www.outdoorsy.com/help/insurance-supplement" target="_blank" rel="noopener noreferrer">a supplement</a>, this simply means that they need additional time and/or expense to complete the work. They can request a supplement by using the instructions on the first page of the estimate.</li>

How do I file a claim?

You can update your credit card in your account at anytime.



If you have a trip booked, be sure to update your card on your trip page. Otherwise, you can update it in your account settings.



<h3>Add a new card for a trip you already have booked</h3>



<h5>If you already have a trip booked and you’d like any upcoming charges to go on a new card, use these instructions.&nbsp;</h5>



Be sure to do this when logged in to the desktop or mobile website. This functionality is not yet available on our iPhone or Android apps — sorry about that.



From the My account dropdown in the upper right, select Upcoming trips. 



Select the trip you need to update the card for. Then, scroll down to and expand the Payment &amp; cancellation section.



Under Payment details, select Change payment method. Then, open the dropdown and select Add payment method.



Once you’ve added your card, any upcoming payments for the trip will go on your new card. The card will also be saved to your account.&nbsp;

Such booking must purchase the maximum available insurance coverage offered through the Outdoorsy.com booking platform. Outdoorsy will not be responsible for covering additional trip costs on and/or off platform, including but not limited to, mileage overage fees, gas, campground reservations, airfare or any other costs and expenses. As described in “How to Enter,” three potential winners will be selected each calendar week during the Contest Period. Users of such channels may vote on their favorite submission, and the submission with the most votes will be selected as a potential winner.&nbsp; In the event of a tie, Outdoorsy in its sole discretion may select the winner. The potential winner will be notified via email addresses provided on the submission. In order to receive the prize, the potential winner must return email communications with Outdoorsy’s team to set the delivery conditions of the prize. If the potential winner fails to give respond to the email within 14 days or is found to be, in Outdoorsy’s sole discretion, ineligible or in violation of these Official Rules, such potential winner and his/her entry will be disqualified, and an alternate winner will be selected from all remaining eligible entries.&nbsp; Outdoorsy may request paperwork that the potential winner will be required to complete in order to be awarded the prize (including, but not limited to, a publicity release, tax documentation, drivers license information, evidence of insurability, and/or liability release). <h4>General terms</h4>



Decisions made by Outdoorsy are final and binding in all matters, including interpretation of these Official Rules and awarding of the prize. Entrants assume all risk of loss, damage, destruction, delay, or misdirection of Contest materials submitted to Outdoorsy. Outdoorsy reserves the right, at its sole discretion, to cancel, terminate, modify, or suspend the Contest, or any part of it, if any virus, bugs, other technical failures, non-authorized human intervention, fraud, or any other causes beyond Outdoorsy’s control impair the administration, security, integrity, or proper functioning of the Contest, as determined by Outdoorsy in its sole discretion. Outdoorsy in its sole discretion reserves the right to disqualify any entrant it finds to be tampering with or attempting to tamper with the entry process or the operation of the Contest or to be acting in violation of these Official Rules. <h4>Release and indemnification</h4>



By participating in the Contest, you agree to release from liability and hold harmless Outdoorsy and its parent company, affiliates, and related companies, and each of their respective officers, directors, and employees and agents (collectively, the “Released Parties”) from and against any claim or cause of action, including, but not limited to, personal injury, death, or damage to or loss of property, arising out of participation in the Contest or the receipt or use or misuse of any prize, or from any trip booked or taken using the prize. Entrants agree to indemnify the Released Parties and any other companies associated with the Contest, including any vendors or marketing agencies, and any third parties who have provided prizing. The indemnity covers all claims made not only by potential winners, but also by anyone participating in the Contest. The indemnity covers both claims arising out of the Contest itself, and claims arising from any use of the prizes.



<h4>Limitation of liability</h4>



Outdoorsy is not responsible for: (1) any incorrect or inaccurate information, whether caused by entrant, printing errors, or any of the equipment or programming associated with or utilized in the Contest; (2) technical failures of any kind, including, but not limited to, malfunctions, delays, interruptions, or disconnections in phone lines or network hardware or software; (3) technical or human error which may occur in the administration of the Contest or the processing of entries; (4) late, lost, undeliverable, damaged, stolen, misdirected, or postage-due entries; or (5) any injury or damage to persons or property which may be caused, directly or indirectly, in whole or in part, by entrant’s participation in the Contest or receipt or use or misuse of any prize, or from any trip booked or taken using the prize. This includes such failures that might result in more winners than planned are issued.



<h4>Disputes</h4>



This Contest is governed by the laws of the United States and State of Texas without respect to conflict of law doctrines. As a condition of participating in this Contest, entrant agrees that any and all causes of action arising out of or connected with this Contest, shall be resolved individually, without resort to any form of class action, exclusively and solely before a state or federal court located in Austin, Texas. Further, under no circumstances will entrant be permitted to obtain awards for, and entrant hereby waives all rights to claim, punitive, incidental, or consequential damages, including reasonable attorneys’ fees, and entrant further waives all rights to have damages multiplied or increased.

Can I track where renters take my vehicle?

The amount on your 1099-K represents your tax liability as defined by the Internal Revenue Service (IRS).



The IRS requires Outdoorsy to base our 1099-K reporting on the gross reportable payments that renters make to our platform.&nbsp;

<h4>Why include the owner service fee on 1099-Ks?</h4>



Because it doesn’t come out of the customer’s payment to Outdoorsy. It comes out of our payout to you.



Again, the IRS requires us to base our 1099-K reporting on renters’ payments and not owners’ payouts.&nbsp;



This means your 1099-K will differ from your total payouts for the year in your Outdoorsy account. The difference is the owner service fee. It’s included in 1099-K reporting. It’s not included in your total payouts for the year.&nbsp;



This could change in the future. We watch tax laws closely so we can help you comply. We’ll implement any changes that impact you and your tax liability.



<h4>Reminder about service fees</h4>



Both RV owners and renters pay a service fee. Renters pay a percentage of their rental cost. Owners, a percentage of their payout. This helps enable Outdoorsy to maintain a secure and updated platform.

Where’d the taxable amount on my 1099-K come from?

The federal government imposes tax reporting requirements on companies like Outdoorsy. This means we must notify the Internal Revenue Service (IRS) of reportable payments that just about everyone receives from our platform.



Without your tax info, we can’t do this. But, that doesn’t mean you&#8217;re off the hook.



By law, if Outdoorsy doesn’t have your tax information, we must withhold at least 24% of your reportable payments as income tax. We remit this to the IRS for you.&nbsp;



<h4>Where do I add my tax info?</h4>



You can add your tax information in the Account area of your <a href="https://www.outdoorsy.com/dashboard/account/payout" target="_blank" rel="noreferrer noopener">Dashboard</a>, on the Payout preferences or Tax docs tab.&nbsp;



<h4>What if I don’t add my tax info?</h4>



Automatic withholding (24% of your reportable payments) begins January 1, 2022.



<h4>Can I stop automatic withholdings once they’ve begun?</h4>



Yes, once you provide your tax information, Outdoorsy will stop withholding on future payouts.



<h4>What happens to the money that Outdoorsy withholds?</h4>



We remit the money to the IRS in your name, and you may be able to treat the withholdings as tax payments made by you. However, you may face difficulties given that the payments we remit aren’t tied to your taxpayer identification number.&nbsp;



That’s why, even if withholding has started, you should provide your tax information to Outdoorsy.&nbsp;



You should consult with your tax professional for more information.



<h4>I just submitted my tax information. Will Outdoorsy pay me back what it withheld?</h4>



It depends on when the withholding occurred and when you submitted your tax information. However, generally, Outdoorsy is prohibited from returning withheld amounts.&nbsp;



<h4>Does Outdoorsy always notify the IRS of my reportable payments?</h4>



It depends on how much you receive in <a href="https://www.outdoorsy.com/help/whered-the-taxable-amount-on-my-1099-k-come-from" target="_blank" rel="noreferrer noopener">reportable payments</a> each year:



<h5>$600 or more</h5>



Yes, we must notify the IRS of your reportable payments, starting in 2022. We’ll also prepare a 1099-K for you and send a copy to the IRS.&nbsp;



<h5>Less than $600</h5>



We may not report anything to the IRS. You should consult with your own tax advisers to determine whether you need to report any activity on your income tax return.



<h4>American Rescue Plan Act (ARPA) of 2021</h4>



If you’ve been active on Outdoorsy and have never come across these tax requirements, it’s because some of them are new for 2022.



ARPA introduced the $600 threshold for tax reporting. This goes into effect on January 1, 2022.
